How does your service work?

We offer a FREE VA-matching service. To start hiring a VA from us, just tell us what position you’re trying to fill and we’ll find you the best candidates, facilitate the hiring process including scheduling and interviews, and assist with onboarding your VA — and our support doesn’t stop once you hire.

After hiring a VA from us, we’ll assign you a dedicated Account Manager (AM) who can answer any questions and help resolve any issues you may have. Our service also includes payroll and even training services, so you have access to anything you could possibly need to grow and manage your remote workforce with us.

What tasks can your VAs do for me?

Practically anything! We have VAs who can do administrative work, creative work, and technical work, and more. What’s the difference between hiring from you and hiring freelancers?

The major differences are: time and effort spent in hiring, data security, and business continuity.

Because we do the pre-screening, pre-vetting and skill matching for you, you won’t have to go through dozens of resumes before finding one or two that you want to interview. On top of that, we have an in-house IT team that employs stringent measures to ensure the security of your data, tools, and account information. Lastly, we have built a proprietary blueprint for virtual staffing success that will enable your business to function seamlessly in the event that your VA resigns or is simply out for the day.

How do you match candidates/VAs to my job?

During our initial consultation call, we will establish the tasks that you need your VA to do along with the necessary skills, software, or tools that you need them to know in order to be considered for your job. After the call, we’ll draft a Job Description (JD) and send it to you for approval. Once the JD is approved, we will look into our pool of VAs to see who best match your JD. If we currently don’t have VAs who match your JD, our recruitment team will actively look for candidates to ensure that we provide you with the best options.

How do you test or screen your VAs?

To identify and secure the most qualified remote professionals for our clients, we require all VA applicants to undergo a 14-step vetting process. This includes a series of interviews and assessments designed to test the applicant’s skills, attitude, and readiness to provide reliable remote services. Here are the assessments that the applicants are required to complete:

  • General Assessment/ Pre-assessment exam testing aptitude, grammar, logic, and skills; chat and video interview, social media check, system requirements check
  • Character and Skills Assessment DISC test, character references check, background check, 1:1 skills assessment
    Comprehensive exam testing aptitude, logic, grammar, and skill
  • VA Training Roadmap Signature training and assessment program that tests skill, learning curve, adaptability, and overall VA attitude
Can I request for VAs that match specific criteria? (e.g. has previous VA experience, female only, neutral accent, from a specific country, etc.)

Of course! We offer a highly customizable service, and we always strive to meet our clients’ requirements. During the consultation call, we will ask you about your preferences and note them all down. We’ll then pass on these search criteria to our recruitment team so they can find suitable candidates.

Can I give the VA candidates a test task?

Yes. In fact, we encourage clients to give a short test task before choosing a VA to ensure that they hire the right VA from the get-go. Test tasks that can be accomplished in 30 minutes or less are free. For longer or more comprehensive test tasks, you will have to pay a small amount as compensation for the VA’s hours.

What if I don’t like any of the candidates you sent?

If you feel like none of the candidates seem to really fit your JD, you can request for additional candidates. We will continuously source candidates for you until we find the perfect match.

Do you have a lock-in period?

One of the main perks of hiring with us is that we don’t lock clients into a long-term contract. However, we do have a 7-day cancellation notice. Before your VA starts, we will collect a one-week deposit (the value depends on your VA’s hours and rate). This will be applied once you submit your cancellation request.

How can I make sure that the VA I hire won’t leave me hanging?

Our service comes with a no-turnover guarantee. This means that if your current VA resigns, we will make sure that you get a replacement candidate in 24 hours so there’s little to no disruption in your day-to-day operations.

Can I choose my VA’s work hours?

Definitely! We give our clients the freedom to decide their VA’s schedule. If you let us know your preferred schedule during the consultation call, we’ll make sure that all VA candidates endorsed to you can work during said schedule.

What’s the hourly rate of your VAs?

The hourly rates for our VAs depend on three factors:

  • VA’s skills/specializations
  • VA’s experience and skill proficiency level
  • VA’s hours per week

Our pricing is structured in such a way that the higher your weekly hours engagement is, the lower the hourly rate is. Also, the more experienced and proficient a VA is and the more specialized their knowledge and skills are, the higher their hourly rate is. This helps us ensure fair compensation and stable career pathways for our VAs.

How do I start?

During this call, you can tell us all about your business, what problems you’re currently facing when it comes to staffing and workload, and we’ll help you figure out a solution that works. This call is FREE and there are no-strings-attached, so you don’t have to worry about making a decision at once.

If you have a Job Description ready to go, you can bypass the consultation call and head straight to the VA Request Form. We will immediately start finding VA candidates for you upon receipt of your VA Request Form submission.

How do you track the VA’s hours?

We have developed a proprietary time tracking system that allows you to check the hours your VA logged in for the day or week. It also saves screenshots from your VA’s computer so you can take a look at what they have accomplished and how they spent their working hours. For more efficient project management, you can also customize your VA’s time tracker account to incorporate time tracking by project and task level.

How do you make sure that my details (passwords, business information, personal information, etc.) are protected?

First, all VA accounts are created and managed by us. This means that we will always have access to your account for retrieval or shutdown should there be any security or privacy concerns. Second, we can help you set up any third-party applications that will enable you to give your VA access to your business tools or software without divulging your passwords to your VA. Third, we also have a built-in NDA on our both Client and VA contracts. You can customize this NDA to suit your standards. You can also ask your VA to sign additional agreements like non-compete or non-solicitation agreements. Lastly, we have an in-house IT team that’s always on top of data privacy and security at your disposal.

Can I replace my VA?

Yes. During the first two weeks after the VA’s start date, we allow clients to request for a replacement to make sure that they get the perfect match. For VAs that have been with you for longer, your account manager would discuss other possible options with you first – such as putting your VA through a training or coaching program – before we find you a replacement. This is to give our team and your VA a chance to resolve the issue. If this doesn’t yield satisfactory results, we will quickly find you suitable candidates to replace your VA.

Where are your VAs located?

We have VAs throughout five continents, although the bulk of our VAs are located in the Philippines. We only hire VAs from countries where English is widely spoken and where a reliable internet connection is easily accessible.

Do you offer discounts for multiple hires or long-term contracts?

At the moment, we don’t offer bulk-hiring or long-term contract discounts.

What are your payment terms?

Clients are usually billed weekly via PayPal subscriptions. Once activated, the subscription will automatically process weekly and should cover billed hours for the current week. The total amount will be based on the actual number of hours worked by the VA and the rates set in your contract. We can also accommodate special billing requests, such as monthly billing or payment through other payment platforms, upon request.

The first payment under the newly activated PayPal subscription you process is the week deposit as stated in the contract. This deposit is used on the VA’s last week upon notice of termination.

Do I need to pay anything else aside from my VA’s hours?

Yes, we charge a one-time setup fee of $99. This is only billed to the client after the VA passes the two-week probationary or nesting period or once the client is satisfied with the VA they have chosen.

I’m going on a holiday/need to temporarily close down my business. Can I pause my VA’s service?

Sure, but we will require a 7-day notice prior to the effective date of the pause of service. Pauses in service should only take 2 weeks at the most, otherwise, we will need to repromote your current VA to our other clients. Your payments will also be placed on hold until service is resumed.

How long will it take you to send me candidates?

Most clients receive VA candidate packets within 48 to 72 hours upon approval of your the description (JD). In cases where the skills the client is looking for is difficult to source, the turnaround time is usually longer — around 10 to 14 days after JD approval.

Do you offer virtual assistant services outside the US?

Yes! We are a global virtual staffing agency, so our services are available to you wherever you are in the world! In fact, we have helped clients from 13 countries across 6 continents already!

How soon can my VA work for me?

The entire hiring and onboarding process usually takes around 5 business days from the approval of the Job Description (JD). This applies to cases where VA candidates are readily available in our candidate pool. Generally, the more responsive a client is to us, the faster we can move the client through the selection and hiring process. Here’s a quick rundown of a typical hiring-to-onboarding timeline:

Day 1: JD approved by the client
Day 2: Recruitment team finds suitable VA Candidates
Day 3: VA Candidate Profile packets are sent to clients
Day 4: Client/VA interviews
Day 5: VA/Client Onboarding and Client Orientation Call w/ VA

After this, your VA can start with regular work!

Can I hire my VA directly or arrange a buyout with you?

We do not support direct hires or buyouts. We are a full-service staffing agency, not a VA placement service, so our VAs work through us for our clients. 20four7VA has safeguards in place to protect both our VAs and our clients, and we believe that offering buyouts jeopardizes those safeguards. We have had several experiences before where the client and the VA worked out a direct-hire agreement outside our knowledge only for the client or VA to inform us later on that it didn’t work out for them — either the VA suddenly left or the client terminated their agreement without warning.

By having all transactions between the client and VA be done through 20four7VA, we ensure that VAs are repromoted to other clients immediately when a contract is terminated and that clients can get a replacement VA with little to no disruption in their daily operations.

Can I request an IRS Form 1099 from you?

The Form 1099 is generally used to record income. For example, US-based freelancers and independent contractors often get a 1099-MISC from their clients. What you will receive from us is a Form W-9 which includes our tax identification number and other pertinent information that you may use to generate your own Form 1099 (should you wish to generate one).
